Spreadsheets are a good way to start managing a team. They are free, familiar and flexible. But there is a point where they begin to cost you more time than they save. Here are five signs you have reached it.
1. You re-type the same data every month
If attendance is in one file, leave requests come on WhatsApp and salary is calculated in a third sheet, someone is copying numbers between them every month. That is slow, and every copy is a chance for a mistake that an employee will notice on pay day.
2. Nobody is sure how many leaves are left
When an employee asks "how many leaves do I have?", does the answer need a search through old messages? A system that records each approval and shows the balance removes arguments before they start.
3. Approvals depend on one person being available
Leave, expense or overtime requests that wait for a manager to reply to a chat message tend to get lost. A simple request-and-approve flow, with a record of who approved what and when, keeps work moving even when someone is travelling.
4. Employee documents are scattered
Offer letters, ID proofs, contracts and salary slips often live in personal e-mail or phone galleries. If the person who holds them leaves, so might the documents. Keeping them in one protected place, with access only for the people who need it, is both safer and calmer.
5. Your team is growing past what one person can track
There is no magic headcount, but the pain often starts somewhere around 15 to 25 employees, or sooner if you have more than one location or shift. If the person doing HR work spends days each month on admin rather than on people, it is time.
What a simple HR system should cover
- Employee records and documents
- Attendance and leave with approvals
- Salary slips and basic payroll reports
- A phone-friendly panel for employees, so they can check their own details
- Role-based access, so each person sees only what they should
Do not over-buy
You do not need a large enterprise system. Start with the two or three jobs that waste the most time, usually attendance, leave and salary slips, and make sure your team actually uses the tool. A smaller system that everyone opens daily beats a big one nobody trusts.
Our HR management system is built for exactly this stage. Tell us how your team works today and we will show you what can be simplified first.
